Microsoft 365 Copilot vs ChatGPT for Business

4 min readUpdated By the DR3AM Systems team
Quick Verdict

Microsoft 365 Copilot (now being renamed Microsoft Copilot) is the stronger choice when your company lives in Outlook, Teams, Word and SharePoint, because the licensed version reasons across your emails, meetings and files while respecting existing permissions. ChatGPT Business is the stronger choice for a broad, standalone assistant with more creative and analysis tools. Many Microsoft 365 users already have the free Copilot Chat, so test that before buying either paid option.

Key Points
  • Copilot Chat comes with eligible Microsoft 365 licenses at no extra cost and is mainly web-grounded.
  • The paid Copilot license adds broad grounding across your Microsoft 365 email, meetings, chats and files.
  • Copilot only surfaces content each user already has permission to see, so messy SharePoint permissions become a real risk.
  • ChatGPT Business is a standalone app with connectors to Microsoft and other sources; it does not train on business data by default.
  • Microsoft states that prompts, responses and Microsoft Graph data are not used to train its foundation models.

Bottom Line

Choose Microsoft 365 Copilot if your team works mostly in Outlook, Teams and SharePoint and your file permissions are in good order. Choose ChatGPT if you want the most versatile standalone assistant or your tools are not centered on Microsoft. Before buying either, pilot the Copilot Chat you may already have.

First, Sort Out the Names

Microsoft's naming causes real confusion, so it is worth being precise. Microsoft documentation now says Microsoft 365 Copilot is being renamed Microsoft Copilot, and Microsoft 365 Copilot Chat is being renamed Microsoft Copilot Chat, with older names still appearing during the transition. The consumer Copilot app for personal Microsoft accounts is a separate product again.

For a business, two tiers matter:

  • Copilot Chat is included with eligible Microsoft 365 work accounts. It is primarily grounded in the web, plus files you upload or paste and some in-app context, and Copilot Chat in Outlook can draw on your mailbox and calendar in supported scenarios.
  • The licensed Copilot experience is a paid per-user add-on. It reasons across your Microsoft 365 data through Microsoft Graph and semantic indexing: emails, meetings, chats, documents and SharePoint sites the user can access, with priority access to advanced models and agents.

On the other side, ChatGPT Business (formerly Team) and ChatGPT Enterprise are OpenAI's paid workspace plans.

Where Copilot Is Stronger

Copilot's advantage is context. A licensed user can ask it to prepare for a client meeting and get a summary drawn from recent emails, the last Teams call and the proposal in SharePoint, without uploading anything. In Teams it can summarize meetings and list action items. In Outlook it drafts replies with the thread in view. For companies that already pay for Microsoft 365 and keep their work there, that integration is hard to match.

Governance is the other strength. Copilot sits inside the Microsoft 365 compliance boundary. Microsoft states that prompts, responses and data accessed through Microsoft Graph are not used to train foundation models, and admins can apply Microsoft Purview retention policies and eDiscovery to Copilot interactions.

The permissions catch

Copilot only shows users content they already have permission to view. That sounds safe, and it is, as long as your permissions are right. In many small businesses, years of "share with everyone" links mean an employee technically has access to salary spreadsheets or HR files they never knew existed. Copilot makes that content easy to find. Review SharePoint and OneDrive sharing before rollout.

Where ChatGPT Is Stronger

ChatGPT is a broader general-purpose tool. Image generation, voice conversations, deep research, custom GPTs, data analysis and agent features are all in one app, and they work the same whether your company uses Microsoft, Google or a mix. Connectors let it search sources including SharePoint and Google Drive, so it is not cut off from company files, although it does not have Copilot's native, permission-aware reach across your whole tenant.

OpenAI states that it does not train on data from ChatGPT Business, Enterprise or its API by default. For many teams the deciding factor is simply that staff find ChatGPT more flexible for open-ended work such as brainstorming, analysis of exported data or drafting content outside the Office apps.

Thinking About Cost

Both are priced per user per month, and both vendors change plans and prices often, so check their pricing pages directly. The more useful question is coverage. Copilot Chat may already be included for your staff, so the paid Copilot license only makes sense for people who will use cross-app grounding often, such as managers who live in email and meetings. ChatGPT seats make sense for people doing varied creative or analytical work. A mixed approach, with a few licenses of each matched to roles, is common and reasonable. See ChatGPT vs Claude vs Gemini if you are also weighing other assistants.

A Two-Week Pilot Plan

  1. Clean up obvious oversharing in SharePoint and OneDrive.
  2. Have five to ten staff use Copilot Chat for real work for a week, and note where they wished it could see company data.
  3. License the paid Copilot experience and ChatGPT Business for a small group with different roles.
  4. Compare time saved on the same recurring tasks, such as meeting follow-ups, proposal drafts and report summaries.
  5. Put your AI acceptable use policy in place before expanding.

Whichever you choose, the larger gains usually come from connecting AI to specific workflows, such as CRM updates or intake, which our AI automation team builds. Copilot Studio and ChatGPT's agent features can also help here, but they work best once the underlying process is clearly defined.

FAQ

Related Questions

Is Copilot Chat really free?

Copilot Chat is included with eligible Microsoft 365 work and school licenses at no additional cost, with standard rather than priority access to some features. It is mostly web-grounded and does not have the paid license's broad access to your Microsoft 365 data.

Does Copilot use OpenAI's models?

Copilot uses several models, including OpenAI models, and Microsoft documentation also describes Anthropic models available as an admin-controlled option. Model choice is managed by Microsoft and your admin settings rather than picked per prompt in most experiences.

Can ChatGPT read my SharePoint and Outlook?

ChatGPT offers connectors for Microsoft sources such as SharePoint, which admins can enable and users authorize. It searches what the connector can reach, but it is not embedded in Outlook or Teams the way Copilot is.

Is one more secure than the other?

Both offer business-grade security and state that business data is not used for training by default. Copilot inherits your Microsoft 365 compliance tools; ChatGPT Enterprise has its own admin and retention controls. The bigger risk is usually your own permissions and staff habits.
